This guide covers how to generate, print, and use reports and receipts in C-Tax.

Receipts

What is a Receipt?

A receipt is the official document given to customers after a sale. C-Tax receipts include:

  • Business details
  • Transaction information
  • Item details with prices
  • Tax breakdown
  • QR code for KRA verification

Printing a Receipt

After Creating a Sale

  1. Complete the sale transaction
  2. When successful, click “Print Receipt” or “View Receipt”
  3. The receipt opens in a new window
  4. Click Print (or press Ctrl+P)
  5. Select your printer
  6. Print

For a Past Sale

  1. Go to Sales or Transactions
  2. Find the transaction you need
  3. Click to view details
  4. Click “Print Receipt” or the printer icon
  5. Print the receipt

Receipt Information

A typical receipt includes:

Header Section:

Customer Section:

Reprinting Receipts

If a customer needs a duplicate:

  1. Find the original transaction
  2. Open the receipt view
  3. Print again
  4. Mark as “COPY” if required

Receipt Settings

Some receipt elements may be customizable:

  • Business logo
  • Footer message
  • Paper size

Check with your administrator for receipt customization options.

Reports

C-Tax provides several ways to view and export business data.

Dashboard Statistics

Your dashboard shows quick statistics:

  • Total transactions
  • Pending count
  • Completed count
  • Failed count

Click on any statistic to see more details.

Branch Statistics

To view branch performance:

  1. Go to Branches
  2. Select a branch
  3. Look for Statistics or Stats section
  4. View:
    • Transaction counts
    • Revenue totals
    • Period comparisons

Transaction Reports

Viewing Transaction History

  1. Go to Transactions
  2. Apply filters for your report period
  3. View the filtered results

Filtering for Reports

Daily SalesType: Sales, Date: Today

Exporting Data

If export is available:

  1. Filter the data you want
  2. Click Export or Download
  3. Choose format:
    • Excel (.xlsx) - For spreadsheets
    • CSV (.csv) - For basic data
    • PDF - For printing
  4. Save the file

KRA API Logs (Owner Only)

For system diagnostics:

  1. Go to KRA Logs (under Admin menu)
  2. View API communication history
  3. Check response times and errors
  4. Useful for troubleshooting

Creating Custom Reports

While C-Tax provides standard reports, for custom reports:

Option 1: Export and Analyze

  1. Export transaction data to Excel
  2. Create your own analysis
  3. Build charts and summaries

Option 2: Use Filters Creatively

  1. Apply multiple filters
  2. View specific data subsets
  3. Take screenshots or export

Option 3: Request Custom Reports

Contact your administrator or C-Tax support for specific reporting needs.

Common Report Needs

Daily Sales Report

Purpose: See all sales for a single day

Steps:

  1. Go to Sales or Transactions
  2. Filter: Type = Sales
  3. Filter: Date = Today (or specific date)
  4. View or export results

Monthly Tax Summary

Purpose: Calculate VAT collected for the month

Steps:

  1. Go to Transactions
  2. Filter: Type = Sales
  3. Filter: Date Range = Full month
  4. Filter: Status = Completed
  5. Note total tax amounts
  6. Export for detailed analysis

Outstanding Transactions

Purpose: Find transactions that need attention

Steps:

  1. Go to Transactions
  2. Filter: Status = Pending or Failed
  3. Review each item
  4. Take action as needed

Customer Purchase History

Purpose: See all purchases by a specific customer

Steps:

  1. Go to Sales or Transactions
  2. Search by customer name
  3. View all their transactions
  4. Export if needed

Branch Comparison

Purpose: Compare performance across branches

Steps:

  1. View dashboard statistics per branch
  2. Or export data and compare in Excel
  3. Look at transaction counts and values

Report Best Practices

Daily Tasks

  • Review daily transaction summary
  • Check for failed transactions
  • Verify receipt numbers are sequential

Weekly Tasks

  • Compare sales to targets
  • Review pending items
  • Check branch performance

Monthly Tasks

  • Generate month-end reports
  • Calculate VAT totals for filing
  • Reconcile with bank records
  • Archive important exports

Year-End Tasks

  • Generate annual summaries
  • Prepare tax documentation
  • Archive all records

Printing Tips

For Receipts

  • Use thermal receipt printer if available
  • Set correct paper size (80mm typical)
  • Check print preview before printing

For Reports

  • Use standard A4 paper
  • Check landscape/portrait orientation
  • Preview before printing

Saving Paper

  • Print only when necessary
  • Email receipts if customers prefer
  • Use digital archives

Troubleshooting Reports

Receipt Won’t Print

  • Check printer is on and connected
  • Verify paper is loaded
  • Try printing a test page
  • Check printer drivers

Export Not Working

  • Check your internet connection
  • Try a different browser
  • Contact support if persistent

Data Looks Wrong

  • Verify filters are correct
  • Check date range
  • Refresh the page
  • Clear filters and start again

Missing Transactions

  • Check all filter settings
  • Verify correct branch selected
  • Confirm transaction was completed
  • Search by reference number
