Dashboard Overview
The Dashboard is your home screen in C-Tax. It gives you a quick overview of your business activity and provides shortcuts to common tasks.
What You’ll See
When you log in, the Dashboard shows you important information at a glance.
Statistics Cards
At the top of your Dashboard, you’ll see colored cards showing key numbers:
Total Branches
Shows how many business locations are set up in your account. Click to go to the Branches page.
Total Devices
Shows how many VSCU devices are configured. Each branch needs a device to send transactions to KRA.
Total Transactions
The total number of all transactions (sales, purchases, stock movements) in your account.
Pending Transactions
Transactions that are waiting to be processed or sent to KRA. These need attention.
Completed Transactions
Transactions that have been successfully submitted to KRA and approved.
Failed Transactions
Transactions that encountered an error. These may need to be retried or corrected.
Understanding Transaction Status
Each transaction can be in one of these states:
| Status | Color | What It Means |
|---|---|---|
| Pending | Yellow/Orange | Waiting to be processed |
| Processing | Blue | Currently being sent to KRA |
| Completed | Green | Successfully submitted and approved |
| Failed | Red | Error occurred - needs attention |
Quick Actions
Below the statistics, you’ll find buttons for common tasks:
New Sale
Click to start creating a new sales transaction. This is your most common action for recording customer purchases.
New Purchase
Click to record a purchase from a supplier. Only visible if your role allows purchase creation.
New Stock Movement
Click to record stock coming in, going out, or being adjusted. Only visible if your role allows stock management.
View Transactions
Click to see a full list of all transactions with search and filter options.
Sync with KRA
Click to manually sync data with the KRA system. Useful if you think something is out of date.
Recent Transactions
The bottom section of your Dashboard shows your most recent transactions.
What Each Column Shows
| Column | Description |
|---|---|
| Type | Whether it’s a Sale, Purchase, or Stock transaction |
| Reference | The invoice or reference number |
| Branch | Which location the transaction belongs to |
| Amount | The total value in KES |
| Status | Current status (Completed, Pending, Failed) |
| Date | When the transaction was created |
Working with Recent Transactions
- Click on a transaction to view its full details
- Green checkmark means successfully submitted to KRA
- Red X means there’s a problem that needs fixing
- Yellow clock means it’s still being processed
Branch Selector
If your company has multiple branches, you’ll see a branch selector on your Dashboard (usually in the sidebar).
How to Use It
- Click on the Branch Selector dropdown
- Choose the branch you want to view or work with
- The Dashboard will update to show data for that branch only
Why It Matters
- Statistics will reflect the selected branch only
- New transactions will be created for the selected branch
- Always verify you have the correct branch selected before starting work
Dashboard Tips
Start Your Day Right
Check your Dashboard first thing in the morning to see:
- Any failed transactions from yesterday that need attention
- Pending transactions that haven’t been processed
- Any new KRA notices
Monitor Throughout the Day
Keep an eye on:
- Pending count - if it keeps growing, there might be a sync issue
- Failed count - address failures promptly
End of Day Check
Before leaving:
- Ensure pending transactions are processed
- Review any failed transactions
- Verify today’s sales totals look correct
Common Dashboard Actions
Refreshing the Dashboard
If the numbers look outdated:
- Click the Refresh button (if available)
- Or press F5 on your keyboard to reload the page
- Or click on Dashboard in the sidebar menu again
Viewing More Transactions
The Dashboard only shows recent transactions. To see more:
- Click “View All Transactions” link
- Or go to Transactions in the sidebar menu
Drilling Down
Click on any statistic card to see more details:
- Click “Pending” to see all pending transactions
- Click “Failed” to see what needs fixing
- Click “Branches” to manage your locations
What If Something Looks Wrong?
Statistics Don’t Match
- Try refreshing the page
- Check that you have the correct branch selected
- Wait a few minutes and check again (data might be syncing)
No Data Showing
- Verify you’re logged in with the correct account
- Check if a branch is selected (if required)
- Contact your administrator if the problem persists
Transactions Stuck on Pending
- Check your internet connection
- Verify the VSCU device is working
- Try the Sync button
- Contact support if it persists
